Newlyweds embracing, close up shot

Planning a wedding is an exciting journey, but handling every little detail yourself can become overwhelming. The good news? You don’t have to! Delegating tasks to trusted friends and family allows you to focus on soaking in every special moment. Additionally, at WatersEdge, our all-inclusive wedding packages and dedicated Venue Coordinators take care of the major details—like ceremony coordination, dinner service, and reception flow—so your day runs seamlessly.

Still, there are smaller but important details that your closest friends and family can help with to keep things stress-free. Here are a few key wedding tasks you can (and should) delegate to others!

Rehearsal Dinner Planning

While you’ll want to give input on your rehearsal dinner, you don’t need to manage all the logistics. Ask a parent, sibling, or close friend to take charge of reservations, décor, and meal selections. That way, you can enjoy the evening and focus on final wedding preparations without last-minute stress.

Gathering Family for Photos

Family portraits can be one of the most time-consuming parts of your wedding day, especially when emotions and excitement are high. Assign a trusted bridesmaid, groomsman, or family friend to help your photographer gather the right people at the right time. This ensures your photos stay on schedule and no important shots are missed.

Bonus tip: Pick someone who knows your family well to make the process smoother!

Packing Up at the End of the Night

After hours of celebrating, the last thing you’ll want to do is pack up decorations, gifts, and personal items. That’s where we come in! Our Venue Coordinators will help organize and pack up your personal décor, but it’s also helpful to have a designated friend or family member oversee the process. Give them a checklist of what needs to go home, from gifts and leftover cake to special décor pieces, so everything ends up in the right hands and the right cars.

Managing the Gift Table

Throughout the night, guests will drop off gifts and cards, and you’ll want to keep them safe. Assign a responsible friend or family member to keep an eye on the gift table and ensure everything stays organized. Our Venue Coordinators will also assist in packing up your gifts and placing them in a designated area or loading them into your car so you can relax knowing they’re safe and going home at the end of the night.

Keeping Track of Your Marriage License

This small but crucial task is easy to overlook in the excitement of the day. Whether your license needs to be mailed or simply taken home for safekeeping, ask a trusted friend, family member, or wedding planner to handle it. If you’re heading straight to your honeymoon, make sure they know when and where to send it so you don’t run into any delays in making your marriage official!

Handling Last-Minute Emergencies

Unexpected hiccups are bound to happen, but they don’t have to affect your day. Designate a go-to problem solver (a wedding coordinator, bridesmaid, or family member) to handle any minor mishaps—whether it’s a missing boutonnière, a wardrobe malfunction, or a vendor running late. Knowing someone has your back will let you stay calm and focused on enjoying your wedding. Your Venue Coordinators from WatersEdge will also be there to help with any situations that come up!

Arranging Your Transportation

The last thing you should worry about at night’s end is how you’ll get home. Ask a trusted friend or family member to arrange transportation so you can simply hop in and enjoy the ride. Whether it’s a limo, a vintage getaway car, or a rideshare, having someone handle the details means you won’t have to think twice about it and can just cruise away at the end of the night, and into your future!

Delegate and Enjoy Your Big Day!

Your wedding day should be about celebrating with your partner—not managing logistics. By delegating these tasks to trusted friends, family, and your wedding team, you can be fully present in the moment and enjoy every second. Choose the right people, communicate your needs, and then let go—knowing everything is handled. You deserve a stress-free, joy-filled wedding day!
